The business problem
The founder was building All Terrain Projects alongside full time work and other commitments. The opportunity was worthwhile, but available time was scarce and unnecessary fixed or administrative overhead would make the business difficult to sustain.
For a founder with limited operating time, repeated administration could slow every opportunity and consume the capacity needed to deliver the work. The goal was to establish a credible operating model that could respond promptly, keep commitments controlled and remain lean as demand developed.
The working principles
Keep overhead low
Add tools, subscriptions and process only when they remove meaningful effort or risk.
Reuse what works
Turn recurring enquiries, documents and decisions into repeatable operating assets.
Automate proportionately
Use rules for predictable work and AI where flexible interpretation or drafting adds value.
Keep authority human
Commercial commitments and published information remain subject to accountable review.
AI supported operating system
Simple Ops supported the design of an operating flow for customer enquiries, scope information, tender documents, contracts, RFIs and quote preparation.
The workflow was designed to structure incoming information, identify requirements and missing details, prepare draft clarification questions, organise source material and create consistent first drafts for review. Reusable prompts, templates and checklists reduce the need to begin each opportunity from a blank page.
AI supports interpretation and drafting. Ordinary process controls manage status, ownership and handovers. The founder remains responsible for judgement, pricing, commitments and anything issued externally.
Human controls
Source documents retained
Original customer, contract and tender information remains available for comparison.
Human review before publication
RFIs, quotes, responses and customer communications require approval before issue.
Document change control
Working documents use clear versions so changes can be reviewed and traced.
Material decisions stay human
AI does not approve pricing, contractual positions, legal interpretations or customer commitments.
Exceptions stop the flow
Missing, conflicting or uncertain information is escalated rather than silently assumed.
Access stays proportionate
Tools receive only the information and permissions required for the defined task.
Current outcome
The resulting operating model gives the founder a consistent route from enquiry through scope review, clarification and quote preparation without requiring every step to be rebuilt manually.
The evidence currently supports a qualitative case for improved capacity, consistency and visibility. Measured before and after results have not yet been confirmed and are not claimed here.
Measures to validate
The next evidence review should confirm:
- Founder time required for each opportunity
- Time from enquiry to first useful response
- Time required to prepare and review RFIs
- Time required to prepare a customer quote
- Number of manual handovers and repeated entries
- Rework caused by missing or inconsistent information
